• Account data - name, email, password, role, and organization information.
• Property, tenant, and lease data - uploaded or entered by our property-manager customers, including property and unit details, lease terms, and tenant contact information.
• Payment information - processed by our third-party payment processor; we do not store full payment card numbers.
• Bank-link data - obtained through Plaid when a user connects a bank account for income or payment verification.
• Tenant screening data - credit and background information obtained from screening providers with the applicant's authorization.
• Documents - leases, applications, and other files uploaded to the Service.
• Phone numbers and messages - phone numbers you provide and the content of SMS messages sent and received through the Service.
• Call recordings and transcripts - calls to Rent Genie phone numbers may be recorded and transcribed, and may be handled in part by our AI phone assistant.
• Usage data - log data, device information, and how you interact with the Service.

We use the information above to:

• Provide, operate, and improve the Service;
• Process payments and send billing-related communications;
• Facilitate tenant screening and bank-account verification;
• Send transactional communications, including SMS messages (see our SMS Program & Opt-In page);
• Power our AI phone and messaging assistant and other AI features;
• Maintain security, prevent fraud, and comply with legal obligations.

Property, tenant, owner, and vendor data is uploaded to the Service by our property-manager customers. We process that data as a service provider on their behalf, in accordance with their instructions and our agreement with them. If you are a tenant, applicant, owner, or vendor and have questions about data a property manager has entered about you, please contact that property manager directly, or contact us and we will direct your request appropriately.

We share information with service providers who help us operate the Service, by category:

• Cloud hosting and database infrastructure;
• Messaging and SMS/voice carriers;
• Voice AI and AI processing providers (for our AI phone assistant and AI features);
• Payment processors;
• Tenant screening providers;
• Bank-linking providers (Plaid).

These providers are authorized to use information only as necessary to provide their services to us and are contractually obligated to protect it.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories of information sharing in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We retain information for as long as needed to provide the Service to our customers, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type and applicable legal requirements.

We use administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on your state of residence, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing, including under the California Consumer Privacy Act (CCPA) and similar laws in other states. To exercise these rights, contact us using the information below. If you are a tenant, applicant, owner, or vendor of one of our property-manager customers, we may need to direct your request to that customer, who controls the underlying data.

The Service is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.

Calls to Rent Genie phone numbers may be recorded and transcribed, and may be answered or assisted by our AI phone assistant. By calling, you consent to this recording and AI-assisted handling, to the extent required by applicable law.

We may update this Privacy Policy from time to time. We will update the "Effective" date above and, for material changes, provide reasonable notice.
